Job Title: Office Manager
Classification: Full Time Exempt

We’re looking for a seasoned, detail oriented, top-notch Office Manager to join the Human Resource & Administrative team! In this critical role, the Office Manager will be responsible for all administrative activities for the office, including facilities management.

Key responsibilities will be, but are not limited to:
Ordering of office supplies, computers, and electronic equipment
Establishing mobile phone voice and data accounts with carriers
Maintaining and updating the Fixed Asset Database and managing the allocation of assets
Light A/P and A/R, QuickBooks, wire transfers, bank deposits, petty cash and expense report reconciliation
Maintaining list and files of all corporate contracts and agreements
Travel arrangements and maintenance of travel profiles
Scheduling of meetings and maintaining company calendars
Mailings and overnight/express shipments, including picking-up mail from P.O. Box each day
Coordination of company events (holiday parties, team building activities, corporate entertainment) and obtaining refreshments for meetings as requested
Greeting visitors
Assisting with special projects as assigned
Liaison with building management regarding all facility related issues
Supervise the maintenance of office equipment, including the copier, fax machine, printer, etc.
Coordination of all activities related to the purchase and reconfiguration of office furniture
Manage and coordinate all activities related to finding and moving into new/additional office space
MUST be Macintosh literate
High School graduate with 3 – 5 years of office management experience in a high tech environment required – preferably at a software company
At least 1 year experience in light A/P and A/R required
Proficiency in Microsoft Office required
FileMaker experience required
Facilities management/liaison experience required
Strong initiative and excellent follow-through skills are absolutely crucial
Ability to prioritize and manage a variety of tasks (with minimal supervision) required
Must be detail oriented and thorough
Must possess sound judgment
Must be a licensed driver with reliable transportation
Superior written and verbal communication skills required
Experience with the internet and email required
Must be a self-starter and enjoy working in a fast-paced environment
Sales and Marketing administrative support experience a plus

Experience with QuickBooks and other accounting applications required
Extensive experience and judgment in planning and accomplishing goals
Ability to think strategically and proactively, and ability to anticipate changes
Proven experience leading and directing the work of others
A wide degree of creativity and latitude is expected
Experience working for a commercial/consumer software company required
Must possess excellent problem-solving skills as well as solid organizational skills
